Excel formula prompt generator
Build a precise prompt for an Excel formula
Turn a spreadsheet question into a clear prompt for an AI assistant, with table names, calculation rules, and test rows. Free to try; Promptify creates the prompt, not the formula.
Generate a draft in your browser, edit it, and copy it. Use the full builder when you want more controls.

What changes
A useful brief makes the missing decisions visible.
- Names the table, columns, data types, and selector cells instead of leaving the AI to guess.
- Defines every inclusion rule and uses a first-of-month start with an exclusive next-month boundary.
- Includes rows that should count and rows that should not, plus an expected total to check.
Example output
Excel formula prompt
Rough request: “Add up paid orders for a customer this month.” Prompt to paste into an AI assistant: You are an Excel formula assistant. Draft one formula for Microsoft 365 Excel using only the workbook details below. Do not invent sheet names, column names, or business rules. Workbook: - Excel table: Orders - Columns: OrderDate (real Excel dates), Customer (text), Status (text), Amount (number) - Cell $H$2 contains the selected customer. - Cell $H$3 contains a real Excel date set to the first day of the selected month. Task: Sum Amount only for rows where Customer matches $H$2, Status is exactly “Paid”, and OrderDate is on or after $H$3 but before the first day of the following month. Use a bounded date range, not a text month label. Return: 1. One formula using structured table references. 2. A short explanation of each criteria pair and why the next-month boundary is exclusive. 3. A check against these example rows: - 2026-03-03 | Amina | Paid | 40 - 2026-04-02 | Amina | Paid | 30 - 2026-03-07 | Amina | Pending | 15 - 2026-03-09 | Lee | Paid | 20 Expected total for Amina in March 2026: 40. 4. Any version, date-type, or locale-separator assumption that affects whether I can use the formula as written. If a needed workbook detail is missing, ask one focused question instead of guessing. I will test the result in a copy of my workbook before relying on it.
Practical guide
What makes this brief useful
A formula request needs the real table and column names, data types, and exact include/exclude rules. For this example, a multi-criteria sum uses an Excel table and a month range that starts on the first day of the month and stops before the next month. The prompt asks for sample-row checks so you can catch a wrong header, date boundary, or status rule before using the answer.
Good fit for
- Sum amounts only when a status, person, and date range all match.
- Build a lookup when the workbook’s key columns and duplicate-match behavior are known.
- Explain or repair a formula using the actual error, cell references, and sample values.
Before you run it
- Share the table name, exact headers, data types, and where the result should go.
- State rules with dates as true Excel dates; dates stored as text can behave differently.
- Include at least one row that should count and one that must be excluded.
- Check the generated formula in a copy of the workbook and compare it with a known expected result.
- Do not paste customer or confidential workbook data into an AI service unless your organization permits it; replace real examples with harmless sample rows.

Using this prompt generator
Does Promptify calculate or validate the formula?
No. Promptify builds the prompt in your browser. Paste it into the AI tool you use, then test the returned formula in a copy of your workbook against known rows before relying on it.
What should I include in an Excel formula prompt?
Give the exact table and column names, data types, cell references, calculation rules, Excel version, and a few rows with the expected answer.
Will the formula work in every Excel version and locale?
Not necessarily. Tell the AI which Excel version you use, check function availability, and account for local formula separators. Verify the result in your workbook.
